Complete an authorization request form
Before a procedure is published, it must be validated by users and subject matter experts, and approved by directors from the Customer Service and Legal Services departments, or by the QA supervisor for minor changes.
- Open the authorization request form by clicking on the link provided in the email.
- Review the Due date to determine when the authorization must be completed by.
- Review the What's new section to familiarize yourself with the proposed changes to the procedure.
- Review the Validators section to ensure the procedure has been validated by the appropriate staff.
- Open the procedure to be authorized by clicking on the link to the procedure that is directly above the form.
- Review the procedure and the proposed changes.
- Once your review is complete, close the procedure and return to the authorization request form.
- Click on the Edit button.
- If you have any questions or concerns about the procedure that need to be addressed before you can authorize it, reach out to the Procedure Editor via the Request Clarification button. Click the Request Clarification button, type your question or comment in the pop-up text box, and click the OK button. This sends an email to the Procedure Editor and records the comment on the authorization form. Close the authorization form (no need to save it). View the email response from the Procedure Editor and return to the authorization request form to authorize it.
- In the Comments section, type your feedback (such as wording suggestions, order of steps or readability, etc.).
- Click the Authorized button. This marks the authorization as completed and sends an email to the Procedure Editor to notify them it has been completed.
- Delete the authorization request email.
Please resolve any concerns about the procedure before marking it as Not Authorized. If you have questions or changes that need to be addressed before approving the procedure, use the Request Clarification option. Once your concerns have been addressed and changes made to the procedure, these changes will be reflected in the draft copy (accessible in the original email) for your review.
Notes:
- It is not necessary to reply to the email as completing the authorization request form notifies the procedure editor.
- If you send your authorization feedback via email, please complete the authorization request form in order for the system to record your authorization has been completed.
