Complete a pre-release request form
Before a procedure is published, it must be validated by users and subject matter experts, and authorized by directors from the Customer Service and Legal Services departments, or by the QA supervisor for minor changes. In cases of significant changes, the document is also sent as a pre-release review to other key individuals in the organization (e.g., managers) whose area is impacted by the change. The pre-release review allows these individuals to examine the proposed changes before implementation, so they can raise concerns if they identify any potential unexpected business impacts.
- Open the pre-release review request form by clicking on the link provided in the email.
- Review the Due date to determine when the review must be completed by.
- Review the What's new section to familiarize yourself with the proposed changes to the procedure.
- Open the procedure to be reviewed by clicking on the link to the procedure that is directly above the form.
- Review the procedure and the proposed changes.
- Once your review is complete, close the procedure and return to the pre-release review request request form.
- Click on the Edit button.
- In the Comments section, type your feedback, if any.
- Click the Procedure Reviewed button. This marks the pre-release review form as completed and notifies the procedure editor via email that the review is done.
- Delete the pre-release review request email.
Notes:
- It is not necessary to reply to the email as completing the pre-release review request form notifies the procedure editor.
- If you send your feedback via email, you must still complete the pre-release request form in order for the system to record your review has been completed.
